Our Approach

Working in close partnership, we developed an intelligent bid response platform powered by generative AI. The solution combines Large Language Models with Retrieval-Augmented Generation (RAG), an architecture that grounds AI-generated content in the client's own knowledge base, ensuring accuracy and relevance.

We ingested the client's historical bid library, methodology documents, case studies, policies, and staff credentials into a structured knowledge repository. This content was processed and indexed for intelligent retrieval, transforming fragmented institutional knowledge into a searchable strategic asset.

When a new tender arrives, the system analyses each question, retrieves the most relevant historical content, and generates a tailored draft response. The AI synthesises information from past winning submissions, adapts tone and detail to match requirements, and flags areas requiring human input.

Subject matter experts review, refine, and approve generated content, focusing their time on strategic positioning and quality assurance rather than blank-page drafting. The system learns from these refinements, continuously improving output quality.

The Outcome

The platform has fundamentally changed how the client approaches bid management. Reducing time spent answering tender questions by more than half means draft responses that once took hours of manual work can now be generated in 5 minutes.
